Quick version: We collect your name, contact info, and move details when you request a quote or book a service. We use this to coordinate your move and communicate with you. We don't sell your data. We share information with crew leads, partner carriers (for long-distance routes), and payment processors — only what's needed to complete your move. 1. Information We Collect
We collect the following categories of personal information in the course of providing moving, relocation, packing, storage, and furniture delivery services:
- Identity & contact details: Full name, email address, phone number, mailing address (origin and destination).
- Move details: Preferred move date, move type (residential, long-distance, corporate, newcomer assistance, storage, furniture delivery), inventory details collected during video or in-home surveys, and any special handling instructions you provide.
- Payment information: Credit card and billing details are processed by Stripe (our PCI-compliant payment processor) and are not stored on Canadian Life's servers. We retain only the last four digits for invoice reference.
- Website usage data: We collect anonymized browsing data through cookies and analytics tools, including pages visited, time on site, referral source, and device type. See Section 4 for cookie details.
- Communications: Emails, phone call notes, and messages submitted through our contact form at canadianlf.com/contact.
2. How We Use Your Information
Your information is used for the following purposes — each tied directly to delivering your move or improving our operations:
- Generating binding quotes based on video survey or in-home assessment data.
- Scheduling crews, trucks, and routes for your move date.
- Coordinating with crew leads (move details, addresses, access instructions, inventory manifests).
- Communicating with you before, during, and after your move — including transit updates, delivery confirmations, and post-move follow-up.
- Processing invoices and payment through our third-party payment processor.
- Managing storage vault inventories and retrieval requests.
- Providing newcomer relocation assistance, including Landing Kit coordination and 90-day settling support.
- Analyzing anonymized website data to improve site performance and user experience.
- Responding to damage claims, service inquiries, and feedback.
3. Information Sharing
We share your personal information only with parties directly involved in delivering your service. We do not sell, rent, or trade personal information to third parties for marketing purposes. Specifically, we share data with:
- Canadian Life crew leads and moving crews: Your name, addresses (origin and destination), contact phone number, inventory manifest, and access instructions — the minimum information required to execute your move safely and on schedule.
- Partner carriers: For interprovincial long-distance routes that use partner trucking firms, we share shipment details (weight, origin, destination, delivery window). Partner carriers operate under Canadian Life's cargo liability coverage ($2M per shipment) and are contractually bound to handle your data confidentially.
- Customs brokers: For international shipping containers entering Canada through the Port of Montreal, Halifax, or Vancouver, we share shipment documentation as required for customs clearance.
- Payment processors: Stripe processes all credit card transactions under PCI DSS Level 1 compliance. Canadian Life does not have access to your full card number.
- As required by law: We will disclose information if compelled by a valid court order, subpoena, or regulatory demand under the laws of Ontario or Canada.
4. Cookies and Tracking
canadianlf.com uses a limited set of cookies. Here's exactly what runs on your browser:
- Functional cookies (always active): Session management — keeps your contact form data intact if you navigate away and return. No personal data is transmitted to third parties.
- Analytics cookies (Google Analytics, anonymized IP): We use Google Analytics with IP anonymization enabled to understand aggregate traffic patterns — page views, session duration, referral sources. We do not enable Google's advertising features, remarketing, or demographic data collection.
- Advertising/tracking cookies: None. We do not run retargeting pixels, social media trackers, or third-party advertising scripts on this site.
You can manage or delete cookies through your browser settings at any time. Disabling functional cookies may affect contact form behavior but will not prevent you from browsing the site.
5. Data Retention
We retain data for the minimum period required by operational, tax, and insurance obligations:
- Completed move records (client name, addresses, inventory manifest, invoice, damage claims): retained for 7 years from the date of service. This period aligns with Canada Revenue Agency record-keeping requirements and our cargo insurance policy terms.
- Quote requests from non-clients (visitors who requested a quote but did not book a move): deleted after 12 months.
- Storage client records: Retained for 7 years after the final vault retrieval date.
- Website analytics data: Aggregated and anonymized — no individual-level retention beyond the Google Analytics default of 26 months.
- Cookie consent preferences: Stored in your browser's localStorage indefinitely or until you clear browser data.
6. Your Rights
You have the right to:
- Access: Request a copy of all personal data we hold about you.
- Correction: Request correction of inaccurate or incomplete data.
- Deletion: Request deletion of your personal data, subject to our legal retention obligations (e.g., we cannot delete invoicing records within the 7-year tax retention window, but we can delete marketing-related data and survey footage immediately).
To exercise any of these rights, email contact@canadianlf.com with the subject line "Privacy Request." Include your full name and the email address associated with your account. We respond within 30 calendar days.
7. Security
We implement the following security measures to protect your data:
- SSL/TLS encryption: All data transmitted between your browser and canadianlf.com is encrypted via TLS 1.2+.
- Access controls: Only authorized Canadian Life staff with a direct operational need can access client records. Crew leads receive move-specific data only — not your payment information, not your full account history.
- Payment processing: Handled exclusively by Stripe under PCI DSS Level 1 compliance. Card data never touches Canadian Life's infrastructure.
- Physical security: Paper records (signed bills of lading, inventory manifests) are stored in a locked filing system at 500 St. Clair Avenue East, accessible only to office staff.
8. Changes to This Policy
We update this policy as our services and legal obligations evolve. The "Last Updated" date at the top of this page reflects the most recent revision. Material changes — meaning changes that expand data sharing, alter retention periods, or affect your rights — will be communicated via email to all clients with active accounts or moves in progress. For non-clients, the updated policy is effective upon posting to this page.
